What Is an Apostille?#
An Apostille is an official government certification that authenticates the origin of a public document so it will be legally recognized in another country. It is the international equivalent of a notary seal — a standardized certificate accepted by all member countries of the Hague Apostille Convention (currently 125+ countries).
Common countries that require an Apostille include Ukraine, Mexico, Italy, Spain, Germany, Brazil, India (for certain documents), China (for certain documents), and many others.
If the destination country is not a member of the Hague Convention, a different form of authentication called Embassy Legalization or Consular Legalization may be required instead.

How the Virginia Apostille Process Works#
Virginia documents are authenticated through the Virginia Secretary of State’s Office (for state-issued documents) or the U.S. Department of State (for federal documents).
Step 1 — Notarization (if required) Many documents must first be notarized by a licensed Virginia Notary Public before they can receive an Apostille. We handle this step for you — we notarize your document and verify it is in proper form for Apostille submission.
Step 2 — Virginia Secretary of State Submission The notarized document (or an original government-issued document) is submitted to the Virginia Secretary of State’s Authentication Office for Apostille certification. We assist with preparing and submitting your paperwork correctly.
Step 3 — Federal Authentication (for federal documents) FBI background checks, federal court documents, and other federally issued documents are submitted to the U.S. Department of State for Apostille certification rather than the Virginia Secretary of State.
Step 4 — Document Return Your Apostilled document is returned to you, ready for use in the destination country.

What countries accept an Apostille? All member countries of the Hague Apostille Convention accept Apostilles. There are currently 125+ member countries. Check the Hague Conference website or contact the consulate of your destination country to confirm.
How long does the Virginia Apostille process take? Processing times vary by the Virginia Secretary of State’s current workload. Standard processing typically takes 1–3 weeks. Expedited options may be available. Contact us for current estimates.
Does my document need to be notarized first? It depends on the document type. Original government-issued documents (birth certificates, marriage certificates) typically do not need notarization first. Privately created documents (powers of attorney, affidavits, corporate resolutions) generally must be notarized before Apostille submission. We will advise you based on your specific document.
Can you Apostille a document from another state? Each state handles Apostilles for documents issued within that state. For a document issued by another state, the Apostille must be obtained from that state’s Secretary of State. We can assist Virginia residents in understanding the process for out-of-state documents.
What if my destination country is not a Hague Convention member? You will need Embassy Legalization or Consular Legalization instead of an Apostille. This is a different process requiring authentication through the destination country’s embassy or consulate. Contact us to discuss your options.
