What Is Remote Online Notarization?
#

Remote Online Notarization (RON) is a legally authorized process in Virginia that allows a commissioned Virginia Notary Public to notarize documents for signers via a secure audio-visual connection — similar to a video call. The signer’s identity is verified electronically, documents are signed digitally, and the notary’s electronic seal is applied — all without anyone needing to be in the same room.

Virginia authorized RON in 2012, making it one of the first states in the nation to legalize remote notarization.

How Remote Online Notarization Works
#

  1. Contact us or launch the RON platform — Reach out to schedule, or start directly via our Proof.com RON link
  2. Upload your documents — Securely submit the documents you need notarized through the platform
  3. Identity verification — Complete multi-factor identity verification including knowledge-based authentication (KBA) questions and credential analysis of your ID
  4. Live video session — Connect with our Virginia-commissioned notary via encrypted secure video call
  5. Sign electronically — Sign your documents digitally on-screen while the notary witnesses via video
  6. Notarization applied — The notary applies their electronic seal and completes the notarial certificate
  7. Receive your document — Your notarized document is delivered digitally, ready for use

The entire process typically takes 15–30 minutes.

Documents Commonly Notarized Via RON
#

  • Powers of attorney
  • Affidavits and sworn statements
  • Authorization letters and consent forms
  • Business agreements and contracts
  • Real estate documents (where electronic originals are accepted)
  • Estate planning documents (where permitted)
  • Financial agreements

Note: Some document types and receiving institutions may not accept electronically notarized documents. Always confirm with the receiving party that RON is acceptable before scheduling.

Is Virginia RON Legally Valid?
#

Yes. Virginia law (Virginia Code § 47.1-2) expressly authorizes Remote Online Notarization. A RON notarization performed by a Virginia-commissioned notary using an approved platform is legally valid in Virginia and recognized in most U.S. states.

For international use or submission to specific institutions (courts, government agencies, lenders), confirm acceptance of electronically notarized documents with the receiving party first.

Frequently Asked Questions
#

Is remote online notarization legal in Virginia? Yes. Virginia was one of the first states to authorize RON and has a well-established legal framework under Virginia Code § 47.1-2 and related regulations.

What platform do you use for RON? We use Proof.com (formerly Notarize), a Virginia-approved RON platform with multi-factor identity verification and an encrypted video signing environment.

Can I use a RON notarization in another state? Most U.S. states recognize Virginia RON notarizations, but acceptance varies by state and document type. Confirm with the receiving party in the other state before scheduling.

What ID do I need for remote notarization? A valid government-issued photo ID — driver’s license, state ID, or passport. The platform uses credential analysis to verify your ID electronically.

What if my document needs to be physically mailed? RON produces a digitally notarized document. If the receiving party requires a physical paper original with a wet ink seal, you will need our mobile notary service instead.

Can I notarize real estate documents via RON? Some real estate documents can be notarized via RON. However, many lenders, title companies, and recording offices still require wet ink originals. Confirm with your lender or title company before scheduling a RON session for real estate closing documents.
